2. Information We Collect
We collect only what we need in order to quote for and carry out work on your aircraft.
2.1 Information you give us
- Your name and, where applicable, your company or operator name
- Contact details — telephone number and email address
- Aircraft details — type, model and, where you provide it, registration
- The airfield, hangar or stand where the aircraft is kept
- The services you are enquiring about and your preferred dates
- Any notes you choose to include in your enquiry
2.2 Information we generate during a job
- Photographs of the aircraft taken before and after work, including images of pre-existing marks, damage and wear
- Job records, approved-product lists and agreed scopes of work relating to your aircraft
- Invoices and payment records
2.3 Information collected automatically
Our website does not use advertising or analytics cookies, and does not track you across other websites. Our hosting provider may keep standard server logs, which can include IP addresses, for security and reliability purposes.
3. Why We Process It
- To prepare and discuss quotations — on the basis of your consent and in order to take steps at your request before entering a contract.
- To carry out the agreed work — in order to perform our contract with you.
- To document aircraft condition — for our legitimate interest in protecting both parties against disputes about pre-existing damage.
- To invoice and keep accounting records — to comply with our legal obligations.
- To communicate with you about a current or past job — for our legitimate interest in servicing the relationship.
We do not use your information for marketing unless you have separately asked us to, and we never sell personal information to anyone.
4. Aircraft Photographs
Photographs are an important part of how we work, so we want to be clear about them. Images taken for condition-recording purposes are kept as part of the job record and are shared with you.
We will not publish any photograph of your aircraft — on this website, on social media or in any other marketing material — without your prior written permission. Where permission is given, we will obscure registration marks on request.
5. Who We Share It With
We share personal information only where it is necessary, and only with:
- Our form and email providers, who transmit and deliver enquiries submitted through this website to our inbox.
- Our website hosting provider, which stores and serves this website.
- Our accountant or bookkeeper, for invoicing and statutory record-keeping.
- A regulator, court or law enforcement body, where we are legally obliged to do so.
Some of these service providers operate outside South Africa. Where personal information is transferred across borders, we take reasonable steps to satisfy ourselves that the recipient is subject to laws, binding rules or contractual terms that provide an adequate level of protection, as POPIA requires.
6. How Long We Keep It
- Enquiries that do not become jobs: up to 12 months, then deleted.
- Job records and condition photographs: 5 years from completion, so that we can respond to any later question about work we carried out.
- Invoices and financial records: 5 years, as required by South African tax and company law.
You may ask us to delete your information sooner — see section 8.
7. How We Protect It
We take reasonable technical and organisational measures to secure personal information against loss, unauthorised access and misuse. These include access-controlled devices, strong authentication on the accounts where job records are stored, and limiting access to the two partners.
No system is perfectly secure. If a breach occurs that creates a real risk of harm to you, we will notify you and the Information Regulator as POPIA requires.
8. Your Rights
Under POPIA you have the right to:
- Ask what personal information we hold about you, and request a copy
- Ask us to correct information that is inaccurate, irrelevant, excessive or out of date
- Ask us to delete or destroy information we no longer have grounds to keep
- Object to processing we carry out on the basis of legitimate interest
- Withdraw your consent at any time, where consent is the basis we rely on
- Lodge a complaint with the Information Regulator
To exercise any of these, email saaircraftdetailing@gmail.com. We will respond within a reasonable period, and in any event within the timeframes POPIA requires. We may need to verify your identity first.
9. Complaints to the Regulator
If you are not satisfied with how we have handled your personal information, you may complain to:
- The Information Regulator (South Africa)
- JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001
- Email: complaints.IR@justice.gov.za

10. Changes to This Policy
We may update this policy from time to time. The date at the top of this page always shows when it was last revised. Where a change materially affects how we handle information we already hold about you, we will tell you directly.
